GDPR Statment

Arrival - please note changes from May 2022

  • Check in is from 2:30pm – no earlier arrivals unless contacted and agreed prior.
  • On arrival, please go to straight your assigned lodge.
  • There will be a key box located at your door, please type in your 6-digit code, and then press the key icon button this will unlock the box to your key (your code will be issued upon booking) 
  • Please close the box once you have taken the key out – you will not need to use the key lock box anymore during your stay.
  • Registrations of car(s) will be taken upon booking along with your estimated time of arrival.
  • Where possible we ask that you arrive in the same car, we allow a maximum of 2 cars per lodge.
  • Please take time to read the welcome pack left in the lodges as these contain important information relating to your lodge & stay

Departure

  • Lodges are to be vacated by 10:00 a.m. on the day of departure unless arranged prior.
  • On departure, please lock the door of your lodge and put key through the KEY RETURN BOX located opposite lodge 8/9 next to bins.
  • Please also ensure any windows are closed and lights are turned off.
  • The property should be left in a clean and decent condition. All breakages will be charged for.
  • If extra cleaning is required over and above the normal, a set charge of £50 will apply.
  • A separate fee of £50 will be charged for any spillages, breakages, vomiting, fake tan, etc in the hot tub.
  • Lost or missing keys will incur a charge of £50

Pets

  • Pets are not allowed.

Guests

  • Guests are required to be a minimum of 14 years; please note we do not cater for younger children or babies.
  • We charge based on number of guests staying, please ensure you select the correct number of guests when booking for accurate costs.
  • Only the stipulated number of guests can stay in any property.
  • No surprise extra guests unless previously booked and paid for. Any guests not booked and paid for in advance will be asked to leave, you may also be required to leave for failure to follow the agreed Ts&Cs. If you are asked to leave you will not be refunded.
  • Please no visitors to the lodges, any visitors will be asked to leave
  • Max 4 people per booking
  • Max 4 people per lodge
  • Booking multiple lodges for the same group is not allowed
  • No stag, hen or similar allowed – we are a small site suited to those looking for a peaceful break away.

Log Burners

  • Strictly for use between 1st October to 31st March only
  • You must bring your own kiln dried logs – logs are NOT provided.
  • Only kiln dried logs to be used

These rules form part of our booking terms and conditions

Failure to adhere to site rules & terms and conditions may result in you being asked to leave; you will not be refunded if you are asked to leave.

  • Please ensure outdoor shoes are removed before entering the lodge
  • No additional guests other than those previously booked & paid for
  • No visitors, please
  • No more than 4 people allowed per lodge
  • Pets are not allowed
  • No smoking inside the lodge or at the doors, please smoke away from the lodge and dispose of smoking rubbish in the outside metal pale provided
  • Please respect other guests and site residents – we ask that you also keep music to a minimum.
  • Please respect the privacy of others and do not walk around the sides or backs of other lodges – some lodges on sites are owned by residents
  • No cutting across any gardens
  • Please respect the lodge
  • Please leave the lodge in a clean & tidy condition
  • Check out – 10:00am
  • Please ensure rubbish is taken from lodge and put into the bins (located next to key return box)
  • Log burners may only be used between the months of 1st October to 31st March – see separate rules

Wi-Fi Terms & Conditions

By using our internet service, you hereby expressly acknowledge and agree that there are significant security, privacy and confidentiality risks inherent in accessing or transmitting information through the internet, whether the connection is facilitated through wired or wireless technology. Security issues include, without limitation, interception of transmissions, loss of data, and the introduction or viruses and other programs that can corrupt or damage your computer.

Accordingly, you agree that the owner and/or provider of this network is NOT liable for any interception or transmissions, computer worms or viruses, loss of data, file corruption, hacking or damage to your computer or other devices that result from the transmission or download of information or materials through the internet service provided.

By using this service, you agree that you have taken all necessary precautions and made sure your devices and the software installed on them have all available updates installed.

The public Wi-Fi service is provided free of charge. Due to the remote location of the site, speeds and reliability are not guaranteed, and should not be relied upon in emergency situations.

Use of the wireless network is subject to the general restrictions outlined below. If abnormal, illegal, or unauthorized behaviour is detected, including heavy consumption of bandwidth, the network provider reserves the right to permanently disconnect the offending device from the wireless network.

 

Examples of Illegal Uses

The following are representative examples only and do not comprise a comprehensive list of illegal uses:

  • Spamming and invasion of privacy – Sending of unsolicited bulk and/or commercial messages over the Internet using the Service or using the Service for activities that invade another’s privacy.
  • Intellectual property right violations – Engaging in any activity that infringes or misappropriates the intellectual property rights of others, including patents, copyrights, trademarks, service marks, trade secrets, or any other proprietary right of any third party.
  • Accessing illegally or without authorization computers, accounts, equipment or networks belonging to another party, or attempting to penetrate/circumvent security measures of another system. This includes any activity that may be used as a precursor to an attempted system penetration, including, but not limited to, port scans, stealth scans, or other information gathering activity.
  • The transfer of technology, software, or other materials in violation of applicable export laws and regulations.
  • Export Control Violations
  • Using the Service in violation of applicable law and regulation, including, but not limited to, advertising, transmitting, or otherwise making available ponzi schemes, pyramid schemes, fraudulently charging credit cards, pirating software, or making fraudulent offers to sell or buy products, items, or services.
  • Uttering threats;
  • Distribution of pornographic materials to minors;
  • and Child pornography.

 

 

Examples of Unacceptable Uses

The following are representative examples only and do not comprise a comprehensive list of unacceptable uses:

  • High bandwidth operations, such as large file transfers and media sharing with peer-to-peer programs (i.e.torrents)
  • Obscene or indecent speech or materials
  • Defamatory or abusive language
  • Using the Service to transmit, post, upload, or otherwise making available defamatory, harassing, abusive, or threatening material or language that encourages bodily harm, destruction of property or harasses another.
  • Forging or misrepresenting message headers, whether in whole or in part, to mask the originator of the message.
  • Facilitating a Violation of these Terms of Use
  • Hacking
  • Distribution of Internet viruses, Trojan horses, or other destructive activities
  • Distributing information regarding the creation of and sending Internet viruses, worms, Trojan horses, pinging, flooding, mail-bombing, or denial of service attacks. Also, activities that disrupt the use of or interfere with the ability of others to effectively use the node or any connected network, system, service, or equipment.
  • Advertising, transmitting, or otherwise making available any software product, product, or service that is designed to violate these Terms of Use, which includes the facilitation of the means to spam, initiation of pinging, flooding, mail-bombing, denial of service attacks, and piracy of software.
  • The sale, transfer, or rental of the Service to customers, clients or other third parties, either directly or as part of a service or product created for resale.
  • Seeking information on passwords or data belonging to another user.
  • Making unauthorized copies of proprietary software, or offering unauthorized copies of proprietary software to others.
  • Intercepting or examining the content of messages, files or communications in transit on a data network.

Loss or damage

  • The Proprietors shall not be held responsible or liable for any loss or damage to valuables, personal property of any kind, motor vehicles, motorcycles, boats etc. or personal injury or death, direct or indirect, irrespective of how it was sustained, occasioned or caused to anyone of any age (including persons under 18 years) who is a resident or invitee of the proprietors whether caused by or resulting from any default, wilful act, negligence, omission, neglect or otherwise on the part of the Proprietors, their servants or agents or any residents, guests or invitees.

Lost Property

Lost property

  • Please contact us straight away if you think you have left some property in the lodge.
  • Please note lost property will only be held onto for 30 nights before it is disposed of.

If you wish for lost property to be posted back, you will be responsible for any postage costs.

Rules for Safe and Healthy Use

    • Hot Tub Rules for Safe and Healthy Use 
    • Please refrain from entering a hot tub when you have diarrhoea.
    • Avoid swallowing hot tub water or even getting it into your mouth.
    • Shower or bathe with soap before and after entering the hot tub.
    • Observe limits, if posted, on the maximum allowable number of bathers.
    • Avoid drinking alcohol before entering the hot tub or during hot tub use.
    • If pregnant, consult a physician before hot tub use, particularly in the first trimester.
    • No food to be consumed in the hot tub.
    • No Glassware to be taken into the hot tub.
    • No smoking in the hot tub.
    • No jumping in the hot tub
    • Skin Irritation may occur if this happens exit the hot tub, shower, and refrain from using it.
    • If you have used self-tanning products, please refrain from using the hot tub, a £50 charge will occur if this is ignored. This charge also relates to any spillages, breakages, vomiting, etc.

Guidelines for children (e require guests to be at least 14 years of age)

  • Guidelines for children (please note guests are required to be a minimum of 14 years)
    • Infants and toddlers should not use a hot tub at all due to the risk of overheating or dehydration.
    • Older children can be allowed in for short periods of time if the temperature has been carefully checked.
    • Most hot tubs are pre-set to reach 104 degrees, but 102 is a safer setting, and 98 is even better if children are going to be using the facility.
    • Recommendations for time limits for children range from 5 to 20 minutes, depending upon the age of the child and the temperature of the water.
    • Children should not be allowed in hot tubs unless their heads are completely out of the water when they stand on the bottom of the tub.
    • It’s safer for young children to avoid immersing the whole body in the hot tub
    • Children (and adults) should avoid dehydration by drinking water while using the hot tub.

Other Hot Tub Hazards

  • Other Hot Tub Hazards 
    • Drowning is the most serious hazard connected with any body of water, including hot tubs. Children should never be left unsupervised around hot tubs.
    • Entanglement of hair in the suction fitting of a hot tub is another hazard that can result in drowning.
    • Please refrain from fully submerging yourself in the water.

Cancellation Policy 2022

  • 60 nights before arrival – Free cancellation
  • 30 nights before arrival – 50% refund
  • Less than 30 nights before arrival – No Refund
  • Deposits are none refundable unless the cancellation has been made by Weardale Holiday Lodges
  • Deposits are transferrable to another date free of charge – once only – any subsequent changes will incur a £25.00 admin fee

If you need to change your booking date we are able to do this free of charge once only. Any subsequent changes will incur a £25.00 admin fee.

  • If for unforeseen circumstances, we are unable to provide the property as booked, we will endeavour to provide alternative accommodation in another of our properties, with prior agreement. If this is not suitable, then liability is limited to a full refund of monies paid

COVID19 Following the end of legal restrictions - applies to any stays February 24th 2022 onwards

 

Following the governments decision to end the legal requirement to self isolate, any cancellations due to you having COVID19 or someone in your booking having COVID19 are now no longer refundable or transferrable.

Normal cancellation policy rules apply.

Should we enter another nation lockdown, or we are forced to close the site/ restrict bookings – any bookings impacted will be entitled to a full refund or change of date.

Should the Government make it a legal requirement to self-isolate following contracting COVID19 – any impacted bookings will be entitled to a change of date.

Mid Week £60 reductions

Statement

Change In The Law

We have reviewed our data use and storage in our business based on our understanding of the changes in Data Protection law on GDPR applicable from May 2018. The statements below represent our findings as a result of that review.

What Data Do We Hold?

By Law we are required (by our Local Authority) to have the details of those who are booked to stay in our cottages. Therefore, we store information provided to us/required by us of those booking our lodges for self-catering on a Booking Acknowledgement form. This is compiled & sent to guests to confirm the details of their booking. The information on the Booking Acknowledgement Form includes the following:

  • Lead booking contact name
  • Contact telephone number(s)
  • Email address
  • Postal address
  • Details of the booking including the dates, room set up required, likely ETA, things we need to know regarding any food allergies/intolerances

We also have guests’ email addresses/mobile numbers in our email/mobile message records.

The card payments that we take on our website are processed by STRIPE which in result Weardale Holiday Lodges does not see any of the card details. We do get provided the email address and name and this will be used (for the deposits) as a payment reminder 2 weeks before arrival to the accommodation.

How Do We Store The Data We Hold?

All accommodation Booking Acknowledgement Forms are kept on our private computer as part of our business records and the data on them is not processed or used for marketing purposes or any other purposes by ourselves or any third party.

We also have guests’ email addresses/mobile numbers in our email/mobile message records.

How Do We Use The Data We Hold?

The data we hold is purely used to contact guests about their stay prior to their visit or after they have departed as a courtesy to say thank you for staying with us or in relation to damages or items left behind.

We do not contact guests (past, present or future) with any information regarding any promotions or future events at Weardale Holiday Lodges. All promotional marketing of this nature is undertaken via our ‘Blog’ on our website, on our Facebook page, Instagram, press releases, printed materials and advertising.

The Weardale Holiday Lodges Facebook page is used to update those who have indicated they wish to be ‘friends’ of the business. This is subject to the normal security protocols of Facebook, contains no personal information and people can ‘unfriend’ at any point.

The only time where we would share your contact details would be in relation to COVID-19 Track and Trace where we are required to hold contact details for 21 nights in case they are needed.

What Will We Do If You Wish To Change Your Data Record Or Have It Removed?

We do not proactively use data held to contact guests (past, present or future) so in the case where guests’ contact details have changed then following an inbound communication from them in relation to a new booking, the new contact details would be used in relation to that booking.

In terms of access, we have stated here what data we hold on guests, why we hold it and what it is used for.

In terms of personal data removal, should guests wish us to remove their personal data held then the following would happen (aside from the fact we are currently required to store details for 21 nights due to COVID-19 and Track and Trace). We would delete all emails/mobile messages in our records relating to their email address/mobile number and strip their postal address, email address and phone numbers from the Booking Acknowledgement Form stored on our computer.

In terms of any messages/communications/reviews etc left by guests on Google, TripAdvisor, Facebook or any other third party platform then we would expect guests to manage and remove those as they saw fit, although we do feature some on our website and if we were asked to remove these then we would.

We would undertake this within a month of receiving the request (to allow for delay if we are on holiday) and we would then confirm the removal of data (and then destroy that communication).

Data Security

As our business is a family business in which the only two individuals are trusted and trained in the security of the information are the only people who have access to the data we hold, our assessment of the risk of a breach is that it is highly remote. We do not anticipate any security breaches.

Conclusion

We do not believe that the way we store and use the data we hold provides a security risk or falls within the scope of the changed data protection legislation in GDPR from May 2018.
